Information about reservation system and security

  1. The first time the customer uses ITWG's reservation system, he will be asked to give his personal data, and to choose a pseudonym (Login name) and a Password which he can then use to access the service in the future and to confirm or cancel reservations.

  2. The customer must enter his personal data completely and truthfully. This information is encrypted during the transmission and recorded by ITWG. Credit card details are not entered on the registration form but are required when the reservation is made. These details are deleted from the records after the Hotel has confirmed or has been unable to accept the reservation.
    The Hotel will be able to read the customer's personal data and credit card details only if the reservation is first confirmed by the Hotel and then reconfirmed by the customer.
    The customer can optionally send his credit card information via Fax to ITWG, who will send via Fax to the Hotel. This way the information will never be transmitted on the Internet.

  4. The customer should complete the reservation form carefully, with the number of people and rooms or accommodation required for each of the listed types. Any special requests, additional services, references to special offers and so on must be included on the notes which accompany the reservation.

  5. Once the reservation has been sent, the customer will receive confirmation from the Hotel of the availability of the period required and an estimate of the cost. The availability and cost quoted at the time of reservation are always subject to confirmation by the Hotel.

  6. Should the Hotel send confirmation with changes in either the cost or the type of service, the client may accept or refuse the offer, by giving a definite confirmation or by cancelling the reservation. In the case of cancellation, no payment is due to the Hotel and they will no longer have access to your personal data or credit card details which will be immediately deleted from the records. When the reservation is confirmed, the Hotel will be able to access the form with your personal data and credit card details to guarantee the reservation and the data will be deleted as soon as the Hotel has recorded them.

  7. The reservation is made and transmitted when the customer clicks on "Send Reservation". A copy of the booking is automatically sent by e-mail to the Hotel and the customer. If there is a mistake in the e-mail address on your registration form, you will not be able to receive either the copy of the reservation or subsequent confirmations from the Hotel.

  8. The reservation is stored with a reference code which is shown on the screen and also in the confirmation which the customer receives by e-mail. The e-mail booking confirmation can be used as a Voucher for presenting to the Hotel, and is identified by a reservation code which is invariably made up of 3 letters + 5 numbers + 2 letters. The reservation code can also be used to access the booking by means of secure page https://itwg.com/user_reservation.asp, so that the customer can confirm or cancel once he has received a reply from the Hotel. If the customer does not reconfirm the reservation on receipt of the Hotel's reply, it will automatically be cancelled.
    It is important that the customer confirms the reservation.

  9. In order to cancel, the customer must access his reservation once more by means of secure page https://itwg.com/user_reservation.asp and click on "Cancelled". This informs both the Hotel and the ITWG system of the cancellation.

  10. The customer can cancel up prior to 2 days prior to the date of the beginning of the reservation (according to the terms established by the main credit cards). In certain cases, especially in high season, the hotel can apply different terms of cancellation: in that case we suggest that the customer should check the cancellation terms on the "Cancellation Policy" of each hotel. If the check out date is on Saturday, Sunday or during public holidays, the last day due to cancel the reservation is the first previous working day.
    If the customer does not cancel according to the established terms, or he/she does not show up, he/she must pay to the hotel the sum due for one night and this will be debited from his credit card on the same date he/she fails to arrive.

  11. The customer pays the bill for his stay directly to the Hotel by credit card or some other form of payment. In this way, the credit card details supplied by the customer when making the on-line reservation acts only as a guarantee of payment and cannot be used to make any debits prior to the customer's stay.

8 steps to making a reservation

Step 1
Select the proposed dates of your arrival and departure and enter the number of persons and the type and number of rooms required. Click on "Check Availability" to check if the Hotel can accommodate you.

Step 2
If the Hotel has the accommodation you require, click on "Book Now" in order to access the booking form.

Step 3
If you haven't yet done so, you must enter your personal data and identify yourself by means of your chosen Login name and Password which will help you to access the site more quickly on your next visit or to check the status of your reservation.
The Hotel will not be able to read your personal data until you have definitively confirmed your booking, as indicated in Step 7.

Step 4
Check and complete your booking with any additions or special requests to send to the Hotel together with your credit card details. When you are ready, click on "Send reservation".

Step 5
Your booking will be recorded and sent to the Hotel. You will be e-mailed a copy of it with the reservation code to use as a Voucher when you arrive at the hotel.
If you choiced to send your credit card information via Fax you must print the fax form, fill it and send to the fax number in Italy: (++39)-0583-908821 within the next 24 hours, otherwise your reservation will be cancelled.
You can re-print the fax form accessing your reservation (see step 6).

You can access your reservation in order to cancel or add comments and send them to the Hotel by means of secure page https://itwg.com/user_reservation.asp

Step 7
Wait for the Hotel's e-mail reply, access your reservation as indicated in Step 6 and Confirm or Cancel your booking. The Hotel will receive your personal data and credit card details to guarantee your reservation only if you confirm the booking. Don't forget to go back and reconfirm your booking after you receive the hotel's reply!

Step 8
When you arrive at Reception in the Hotel, show them your confirmation e-mail with the reservation code as a Voucher, and ... Have a good stay!
